What data does the Cool Heating Coalition collect?

Why does the Cool Heating Coalition collect your data?

The Cool Heating Coalition collects and stores certain technical information about your visit for website management and security purposes, and to improve our website’s usability. 

The personal data you provide to us through our contact page or by signing up for our newsletter may be used to respond to an enquiry or keep you informed about the activity of the Cool Heating Coalition. We endeavour to obtain and archive prior explicit consent of recipients for communication activities such as newsletters or event invitations. How long are your data stored? 

The Cool Heating Coalition will retain your personal data only for as long as it is necessary for the purposes set out in this privacy policy. We will retain and use your personal data to the extent necessary to comply with legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.)

How does the Cool Heating Coalition collect your data, and how is that data used? 

We use a third-party service called Google Analytics to collect standard internet log information and details of visitor behaviour. We do this to find out things such as the number of visitors to our website. This information is anonymised and is only processed in a way which does not identify individuals. Because this website uses Google Analytics to evaluate user behaviour on its web pages, a number of our pages use cookies. Personal information is never collected without your prior explicit consent and a clear explanation of the purposes for which we are collecting this information. You have the right to withdraw your consent at any time. Personal information that you provide the Cool Heating Coalition is used to deliver different services such as information newsletters, event invitations and other email updates. The data collected are based on our legitimate interests to keep you updated on our activity or based on the contract established between you and the Cool Heating Coalition. 

Are your data protected?

Your personal data are handled in full confidentiality. We make all necessary efforts to take technical and organisational measures to ensure the security of your personal data. If a security breach occurs, it will be communicated to the Data Protection Authority of Belgium as required by law. 

Are your data shared with third parties?

Only when strictly necessary for the delivery of a service, we may disclose personal information to third-party service providers. Any third-party service providers will be bound by contract to keep your information secure and not use it for marketing purposes. The types of parties we may share your data with are:

  1. Service providers of data processing activities the Cool Heating Coalition does not perform itself (e.g. IT service providers, survey providers, etc.).
  2. Funders to whom we are contractually obligated to report our activities, and who may request the sharing of personal data.
  3. Other – to comply with laws and regulations, or to enforce our general terms and conditions, we may be obliged to share your personal information with others.  

How can you control your personal information?

Under the General Data Protection Regulation (Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (GDPR), you have right in relation to the information we hold about you.   1. If you believe the information we are holding about you is incorrect or incomplete, and you wish to request a correction. 
  2. If you wish to be removed from our database and have your data erased.
  3. If you wish to restrict the processing of your data.
  4. In cases where the processing of your personal data is based on your consent, and you wish to withdraw your consent for us to use your data from that point onward.
  5. If you wish to object, on grounds relating to your particular situation, to the processing of your personal data as mentioned above. 

If you are a member of the Coalition, please be aware that removal from our database or limiting access to our data will prevent us from convening you to meetings or other activities.

What happens if the Cool Heating Coalition changes its privacy policy?

The Cool Heating Coalition may change its privacy policy, especially in order to remain compliant with any new legislation or regulations (e.g. General Data Protection Regulation applicable from 25 May 2018), the recommendations of the Belgian Data Protection Authority and the European Data Protection Board, as well as court/tribunal decisions.  Should any change to this privacy policy occur, it will be posted on the Cool Heating Coalition website as well as communicated to registered contacts.
